EVALU-TECH
evaluation technology made easy
EVALU-TECH ensures confidentiality to each of your employees, because in fact, it is less important “who” is saying it that “what” is said. If a pattern is found, you have found a weak point in your organization. We recommend an online internet approach, since the majority of your employees will have access. It’s faster, cheaper and more effective. We have a secure server, so there is no issue regarding confidentiality. We will ensure your employees understand the results are being sent to a private third party, with no investment in the results.
When to repeat the survey process?
Most companies require an Employee Satisfaction Survey annually. It is a means to “take the pulse” of your organization, as well as to measure the success of any methods implemented as a result of the prior survey. A longer period, for example, 2 years is sufficient time for a relapse after successful progress had been made. In addition, due to general staff turnover, there will be new managers and staff that were not part of the original results.
Who is your Target?
You must identify your target group or groups, and consider what information you are attempting to extract.
Should you insist on mandatory questions?
With an online survey, you can require that specific questions be answered. While most employers automatically hope to obtain answers to each question, there are reasons that some employees chose not to answer. They may feel unqualified to judge, or may well be uninformed guesses, which only serve to make insightful analysis more difficult.
How to ensure your employees feel a part of the process?
Explain to them what is happening – “we are conducting an employee satisfaction survey”
Why it is happening – “we are seeking to continually improve the way we do business, including maintaining a satisfactory work environment for our employees”
Ensure confidentiality – assure employees that their responses will be held in confidence, and only the team at HR on CALL will see the completed responses.
How the results will be used – any information you are able to share in this regard will boost their willingness to respond
How long will the survey take to complete – the average length of time to complete a survey is 15-20 minutes.
Give a deadline for completion
Thank the employees for participating and their time
How to ensure your survey a high response rate?
Promote the Employee Satisfaction Survey before it begins.
Provide an opportunity for them to complete the survey on company time, and ensure that the managers support this
Produce some paper and pencil copies for those unable to navigate online, with a pre-addressed and stamped envelope that they are able to mail themselves.
Make sure your employees understand no one within your organization will see the results
Provide feedback as to the number of responses at specific points
Send reminder messages
Provide information regarding the results, to ensure success for the next survey
Act on the results. Your employees will find it demoralizing if you ask for honest answers and then do nothing to resolve what they consider to be issues.
Basic Principles to sharing results with staff
Be honest – they probably already know what you are about to tell them
Be Timely – they will be pleased to know that you are reacting to their input
>Be sensitive – in a case where a department has challenges, the managers must not be made to feel embarrassed
Discuss what happens next – what steps will be taken to make improvements
Respect confidentiality – don’t use terms or phrases that will make it apparent to a small group who said what
In problematic situations, it is generally helpful to have an HR professional present to navigate through potential issues.
